New UCM Project Request Process

In an effort to have a more sustainable project request model to better support the campus community, University Communications and Marketing (UCM) adopted the model from summer 2024 and built out a project request calendar for FY25 that will allow us to better map out our workload and develop a comprehensive yearly communication plan. This will allow us to be more transparent with the campus community about UCM’s bandwidth.

After implementing our new project management tool, Asana, we reopened our request form on August 1 for the first intake request sprint and actively accepted new project requests through Sept. 24. We have paused reviewing new requests through Nov. 10. 

Below are the timelines for the remaining two sprints this year:

  • Sprint #2 – we will review submitted requests Nov. 11, 2024 through Jan. 17, 2025. Projects due between Feb. 1 and May 31, 2025 need to be submitted during this timeframe. Requests submitted Jan. 18 through Mar. 16, 2025 will not be reviewed until Sprint #3.
  • Sprint #3 – we will review submitted requests Mar. 17 through May 9, 2025. Projects due between June 1 and Sept. 12, 2025 need to be submitted during this timeframe. Requests submitted May 10 through July 20, 2025 will not be reviewed until the next sprint.

These sprints allow us to pause the review of new requests; they are not a pause on work or project completion. UCM will continue to work year-round on projects for the campus community. It’s important to plan out any projects as early as possible where you’ll need UCM support and submit them during the appropriate sprint (or earlier).
