How do I allow someone else to share their screen during a Zoom meeting?

By default, only a meeting’s host can share their screen, but you can change this setting after your meeting has started by either allowing all participants in your meeting to share their screens or by making the person who needs to present a co-host of the meeting.

Can I limit access to my Zoom meeting to only people with @MiamiOH.edu accounts?

Yes! IT Services added this security setting to Zoom on September 29, 2020. Once you’ve enabled it, when you select the “Only authenticated users can join” box in a meeting’s “Meetings Options” settings, you’ll see a drop-down menu with “Sign in as MiamiOH.edu user” listed as an option.

How do I invite someone to a Zoom meeting while it’s in progress?

Inviting someone to an in-progress Zoom meeting is simple because all Zoom really does is copy the meeting invitation text or its link, then paste it into a message. Unfortunately, it doesn’t allow you to just enter an email address.

Where can I retrieve a recorded Zoom class meeting?

Where your recorded class sessions are saved depends on whether you opted to record them to the cloud or to your computer (i.e., locally). If you recorded your Zoom meeting to the cloud, students may be able to watch it within Canvas, or you can copy a sharing link from your account in Miami’s Zoom web portal. However, if you recorded your Zoom meeting locally (i.e., saved it on your computer), you’ll need to search for its video file within your computer’s Documents folder.

Where can I find reports for a Zoom meeting?

Reports for Zoom meetings can be found in both Canvas and our Zoom web portal (miamioh.zoom.us). However, you’ll be able to quickly and easily download a report for a class session held via Zoom while you’re in your Canvas course if your meeting was set up to have a specific date and time.

Where can I find Zoom chat logs and/or meetings I’ve recorded to my computer?

This is a great mystery for all Zoom users—not just Miami ones! When you record class sessions to your computer (instead of to the cloud), Zoom saves them within the “Documents” folder on your computer. In it, you’ll find a folder called “Zoom,” which has a subfolder for each of your Zoom meetings. It also downloads every meeting’s chat log to its meeting folder.

Should I create a recurring meeting with no fixed time in Zoom?

While Zoom gives you the option to create a meeting with “no fixed time” when you select the option for a recurring meeting, I advise against this for several reasons: problems with polling, more limited access to reports, and no calendar connection.

Can I assign a TA as a co-host to help manage breakout rooms in Zoom?

Yes! In a December 2020 update, Zoom extended the ability to launch and manage breakout rooms to co-hosts, which is the role that is typically assigned to a TA. This includes assigning students to breakout rooms.

What do I do when a student joins a meeting after I have already started breakout rooms in Zoom?

In Zoom’s breakout rooms panel, you can manually assign students to a room if they arrive after you’ve launched breakout rooms during your meeting. Unfortunately, Zoom won’t move them into a room automatically in any circumstance, including when you had Zoom automatically assign students to rooms or if you’ve pre-assigned students to rooms in advance of your meeting.

Why are my students not showing up in pre-assigned breakout rooms?

Some students log in to Zoom class meetings without using their Miami credentials, which means they aren’t being recognized in your manually pre-assigned breakout room since they’re based on email addresses. Also, students may experience issues joining meetings, or they can’t see polls when they join by browser or dial in. They need some guidance in knowing the best way to join your meeting.
