It’s official! LT approves recommendation for SOP repository and tolerated workspaces

Miami University

The Leadership Team has approved an important FAST Team recommendation naming TeamDynamix Knowledge Base as the central repository for standard operating procedures.

What is a standard operating procedure? It’s a set of easy-to-access, repeatable, step-by-step instructions compiled by an individual or a group to help staff carry out routine operations associated with their role. And we already have more than 220 of them in our Knowledge Base (KB), thanks to subject matter experts in Solution Delivery Support, Support Desk, and Knowledge Management.

SolDel’s substantial contribution to the KB has reduced the time needed to onboard new staff and helped to streamline workflow by providing procedures that can be linked to request forms. KB documentation can also reduce the risk of brain-drain when key staff leave and strengthen efficiency by presenting a single repository for support teams to search for resolutions.

Recognizing that certain groups are committed to the use of Confluence wiki and Google Drive, we also recommended the tolerance of these tools as collaborative workspaces. Procedural documentation will be transferred to the KB when the project or procedure is executed in production. And any procedural documentation currently existing in these tools will be transferred into the KB only when content is updated or recognized as usable.

We will no longer grant requests for new wiki spaces for procedural documentation. And we expressly discourage the use of any other repository for procedural documentation.

The next FAST Team will develop practices and training for SOP generation, storage, and maintenance in TeamDynamix Knowledge Base. If you’d like a sneak-peek, check out the procedural articles and standard templates already available in the Knowledge Management folder.

Stay tuned for details on training opportunities, coming soon! And be sure to contact Em Smith with questions.

Thanks!
